As in all walks of life and endeavours thaere has to be some boundaries.
To offer protection to you and us we have outliend some of the key facts associated with this tour.
Please read them thoroughly and make sure you’re happy with them.
We are happy to clarify and discuss any issues you may have.
Costs, deposits, payments, cancellations and refunds
The operating cost for all the tours shown on this site are generated solely from the payments made by the clients on the tours. As such none of the tours can go ahead unless all seats are filled.
A formal ‘expression of interest’ will reserve a seat on a tour until it is confirmed as going ahead.
The cost per person regardless of age. We would love to offer a discount for children, but they still take up the same amount of space. As such the cost is the same.
A 5% ‘couples’ discount is available when two parties book together. This is to encourage a full vehicle. The two parties do not need to be in a relationship of any kind (although it might help if they know each other!).
All clients are responsible for their own and/or their parties travel arrangements to and from Iceland and any associated costs.
All clients are responsible for their own and/or their parties campsite/hotel/guesthouse accommodation whilst in and/or on their way to Iceland and any associated costs, prior to or after the tour. This is to cater for any client organised earlier arrivals or extensions following the tour.
No deposits will be taken from any client until sufficient ‘expressions of interest’ have been received to guarantee that the tours will go ahead.
Once the tours are confirmed a 25% deposits is payable and a booking form will need to be completed to secure the seat.
Deposits are non-refundable as these funds will be used to secure the ferry bookings to transport the vehicle to Iceland from the UK.
If insufficient clients convert their ‘expression of interest’ into a firm booking and deposit then the tours may be cancelled.
Full payment of the outstanding balance is due 8 weeks prior to the start date of the specific tour unless otherwise agreed in writing.
Payment can be made by cheque (payable to Capturelight Ltd.) or, preferably, by BACS transfer. Account details are provided on the booking form.
Cancellations and refunds
If Capturelight Ltd. need to cancel the tour all payments will be fully refunded unless the cancellation is as the result of third party action or weather.
In case of flood, volcano action, closed roads or storm warning by the Icelandic Met Office, we will discuss this with the client and may agree upon a mutual cancellation if the situation demands it.
In the same way delays or cancellations caused by ferry companies or airlines may also result in cancellation.
Capturelight Ltd. cannot be held liable for the actions of third parties or the weather. In these cases the amount of any refund is entirely dependant upon the circumstances. However the client must ensure that they have adequate travel insurance to cover such eventualities.
Should you need to cancel, for any reason, the following schedule of refunds will be payable:
- Greater than 56 days (8 weeks) : 75% i.e. the outstanding balance will not be due
- 55 days – 28 days before the tour date : 50% refund
- 28 days or less: no refund
Refunds will be paid in the same method that the original payment was made.
Refunds will be initiated within 72 hours of the time that the request is approved.
Where necessary, Capturelight Ltd. reserve the right to make alterations to itinerary and/or prices without prior consultation. However where such changes are made, Capturelight Ltd. will endeavour to communicate those changes to relevant parties.
All clients are expected to conduct themselves in an appropriate manner during the trip and must not prejudice the safety and well-being of any member of the trip, or its satisfactory progress.
Although we want you to relax and enjoy the tour, your safety is paramount. Off road driving and camping carries a degree of risk. Many of the locations in Iceland will have hazards associated with them and will require and higher level of self-awareness and risk perception. Capturelight Ltd. will provide a daily safety and information briefing and may offer guidance and/or training regarding the use of vehicles and/or equipment and/or terrainat any time during the tour.
It is your responsibility to ensure that you fully understand the daily briefings and any instructions that are given to you during the day. If you do not understand then you should ask for clarification
Capturelight Ltd. cannot be held liable for any loss or damage to equipment and/or injury or death during the expedition unless caused by proven negligence on the part of an agent of Capturelight Ltd.
Clients visiting Iceland should make themselves aware of the Icelandic Customs restrictions (https://www.tollur.is/english/).Capturelight Ltd. cannot be held responsibility for any breach of these regulations.
You will be required to complete a medical information form, which you will bring with you in a sealed envelope marked clearly with your name. This envelope will be retained by your guide and returned to you, unopened, at the end of the tour. In the event of a medical emergency this envelope will be handed to any relevant medical professional.
It is your responsibility to inform Capturelight Ltd., as soon as practicable, of any medical conditions that may occur during the tour so that early attention can be sought. All efforts will be made to ensure confidentiality, however due to the confines of the vehicle, small group size and impact on the other client this may not be possible.
A Tent, bed, sleeping bag and liner are all provided for your use throughout the tour. Any additional cost associated with using other forms of accommodation is subject to negotiation dependant upon reason e.g. extreme weather conditions, lack of planned campsite location.
Capturelight :Ld. reserves the right to take photographs or videos during the operation of any tour or part thereof and to use the resulting photography for promotional purposes. By making a reservation, clients agree to allow their images to be used in such photography. Clients who prefer that their image not be used are asked to identify themselves to their guide at the commencement of their tour. However Capturelight Ltd. will always notify before any such use.
We respect your privacy and do not tolerate spam. We will never sell, rent, lease or give away your information (name, address, email, etc.) to any third party.
Your guide is on call 24 hours a day to ensure that your tour runs as smoothly as possible and is trained in hostile environment first aid.
The vehicle is equipped with satellite tracking, UHF radios, multiple GPS navigation systems, recovery hardware and comprehensive first-aid supplies.
Capturelight Ltd. reserves the right to alter routes and/or itinerary if necessary. However all changes will be fully discussed.
